Frequently Asked Questions
HOW DO I RESERVE MY SPOT AFTER REGISTERING?
You must pay 50% of your registration invoice balance to do so. If you fail to pay by the date specified on your invoice, your delegation will lose its spot at the conference.
WHEN WILL WE GET OUR POSITION ASSIGNMENTS?
Position assignments are sent upon receipt and processing of 50% of the total amount owed in registration fees.
HOW ARE POSITION ASSIGNED?
The USG of Advisor Relations assigns positions on a first come, first served basis; the earlier 50% of a delegation’s total fees are received, the more likely that delegation is to receive its requested positions.
General Assembly and Specialized Committees: Delegations are intentionally given the same country assignment for all committees, where possible. This means that delegations will have continuity between committees, generally representing the same countries throughout.
HOW SHOULD I SEND A PAYMENT?
GatorMUN only accepts checks. Upon registering, you will receive an invoice with further instructions on payment.
WILL I GET AN INVOICE AND PAYMENT INSTRUCTIONS AFTER REGISTERING?
GatorMUN only accepts checks. Upon registering, you will receive an invoice with further instructions on payment.
HOW DO POTENTIAL DROPS WORK?
If you believe that members of your delegation may drop from the conference, you may wait to give us the full payment. 50% payment remains the requirement for position assignments, but you may wait until the conference to pay the outstanding 50%. Please note that you will be charged the regular registration fee if paying after the early registration deadline has passed.
WHAT HAPPENS IF I ALREADY PAID FOR MY ENTIRE DELEGATION DUES, BUT SOME STUDENTS CAN NO LONGER ATTEND THE CONFERENCE? WILL WE BE REIMBURSED?
If you have already paid in full but have had students drop, you may be reimbursed if your request is received before JANUARY 1st, which will be communicated with payment information. Reimbursement requests must be made before that date. Requests made the weekend of the conference unfortunately cannot be fulfilled.
HOW DO SPLIT DELEGATIONS WORK?
To ensure that the conference remains fair for every delegation attending, delegations are allowed to split into two teams (varsity and novice) under the following conditions:
Your delegation falls into the Large Delegation Category before AND after the split. In other words, your total delegate number must be at least 50.
If you have between 50 and 74 delegates, you will be allowed to do a 1:1 split for your delegation. So, a delegation of 50 will have a varsity team of 25 and a novice team of 25.
If you have 75 delegates or more, you will be allowed to do a 1:2 split for your delegation. So, a delegation of 75 will have a varsity team of 25 and a novice team of 50.
You email us well in advance of the conference to notify us of your decision to split your team into two smaller delegations, preferably at the time of registration.
Your overall delegation will be registered as if it was one team, but positions will be sent separately for each of the two split teams. No additional delegation fee will be required for the second team.
WHAT ARE THE DELEGATION AWARD CATEGORIES?
There are three categories for delegation awards: Small, Medium, and Large. This will allow all teams to remain competitive regardless of their delegation size.
Delegation category sizes are based on the number of differently-sized teams attending the conference. Based on previous years' numbers, the projected break down of the three categories is as follows, but these numbers are subject to change:
Small Delegation - 10 or fewer
Medium Delegation - 11 to 24 delegates
Large Delegation - 25 or more
